ScoutRenter ("we", "our", "us") operates scoutrenter.com and the ScoutRenter mobile application. This page explains what we collect, how we use it, and — just as importantly — what we don't do with it. Tenants are our product's users, not its product.

1. Information We Collect

We collect the following types of information:

• Account Information: Name, email address, phone number, and role (tenant or admin) when you create an account. Landlords interact with us email-only during early access and do not create accounts.
• Tenant Profile Data: Employment information, income range, rental history, lifestyle preferences, and references that tenants voluntarily provide to build a profile.
• Documents: Identity documents, pay stubs, and rental-history references tenants upload for verification. Stored encrypted; never shared except with tenant's explicit opt-in.
• Device Information: Device type, operating system, and push notification tokens (mobile).
• Usage Analytics: We self-host Umami (open-source, privacy-friendly) to count page views and feature usage. No cookies, no cross-site identifiers, no raw IP addresses retained after country resolution. Umami data lives entirely on our own infrastructure; it is not shared with Google, Meta, or any ad network. Analytics tracking is also fully optional — we can operate with it disabled.

What we do not collect: We do not run Google Analytics, Meta/Facebook Pixel, or any third-party advertising tracker. We do not use cookies for tracking. We do not participate in any ad network or data-sharing arrangement.

2. How We Use Your Information

• To build and maintain your verified tenant profile
• To compute a trust score based on your voluntarily uploaded verification documents
• To match you (if you've explicitly opted in to sharing) with landlords whose criteria fit your profile
• To send transactional emails and push notifications you've requested (match activity, verification outcomes, account updates)
• To aggregate anonymous usage (via self-hosted Umami) for product improvement

3. Information Sharing

We share your information only in these circumstances:

• Opt-in landlord matching: When you explicitly opt in, a landlord whose criteria match your profile sees a teaser in their weekly digest (first-name initial, budget range, move-in date, trust score, short bio — not your name, contact, or address). Your full contact details are revealed to a landlord only after an intro is completed — and you are notified each time.
• Email delivery: Transactional emails are sent via Gmail / Google Workspace SMTP. Email contents are not scanned for advertising.
• Legal Requirements: We may disclose information if legally compelled (subpoena, court order, lawful governmental request).

We do not sell your personal information — never have, never will. We do not syndicate tenant data to data brokers, lead aggregators, or advertising platforms. ScoutRenter is not currently monetizing during early access; when we introduce paid features in the future, it will be to landlords, and it will never involve selling tenant data.

4. Data Security

We implement industry-standard security measures including encrypted data transmission (HTTPS), secure token authentication, and encrypted storage of sensitive credentials on your device.

5. Data Retention

We retain your personal information for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us.

6. Your Rights

You have the right to:

• Access and download your personal data
• Correct inaccurate information
• Delete your account and data
• Opt out of push notifications
• Withdraw consent for data processing

7. California Privacy Rights (CCPA)

California residents have additional rights under the CCPA, including:

• Right to know what personal information we collect (see Section 1 above for the complete list of categories)
• Right to access and download a copy of your personal data
• Right to delete your data and account
• Right to opt out of the sale of personal information — note: we do not sell personal information, now or in any planned monetization
• Right to non-discrimination for exercising any of these rights — using the opt-out does not degrade your experience

7a. Fair Housing Commitment

ScoutRenter does not allow landlord-side filters based on protected classes (familial status, source of income including Section 8 vouchers, race, religion, national origin, sex, sexual orientation, disability, marital status, or age). Landlord criteria submissions are validated against these categories before they save; free-text fields are server-side filtered for common discriminatory phrasing. If you believe you've been discriminated against through our platform, email [email protected] and you may also file directly with California Civil Rights Department or HUD.

8. Children's Privacy

Our service is not intended for users under the age of 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of changes by posting the new policy on this page and updating the "Last updated" date.
